What is WebMaxy 

WebMaxy is a WhatsApp Business CRM tool as an independent business entity. The product offers a “Conversation Cloud Platform” with WhatsApp Business that allows our customers to procure, manipulate, analyze and transfer messages between their business systems and their customers on a variety of WebMaxy-provided and third-party messaging channels (the “Service”). 

WebMaxy is dedicated to the protection of Personal Data, involving data that we use for our own purposes, and that we maintain on behalf of our clients. 

Collection and Use of Personal Data 

WebMaxy collects information, also Personal Data, for the following purposes: 

Offering and managing the service 

Internal business purposes 
– Informing to you and marketing 
– Recruiting and managing personnel

Collecting payment for the Service 

To understand and enhance our Service and Website 

In order to offer our services to our clients we gather information like the user’s name, email address and phone number and upload these details into our secure servers. Once the subscription is ended or revoked by the customer we delete all the details without taking any back up for any kind of future use.  

These details are utilized only to search or find the users and deliver the content that they need on the app. 

For a better experience, and to facilitate our service, we may require you to available with us, either directly or indirectly, with certain personally identifiable information, including but not limited to the user name, and Oauth2 credentials. The information -that we request will be maintained by us and used as described in this privacy policy. 

The app tries third-party services that may collect or gather information used to identify you.

Cloud API 

WebMaxy sends messages to Cloud API. The cloud API service stores the messages temporarily. Then, it takes on the work of sending the message to the WhatsApp platform. First, messages are stored for any required transmissions. Then, the WhatsApp messages are deleted automatically after 30 days. 

Providing and managing the Service 

While offering the service, WebMaxy may accept, access, analyze, process and maintain Personal Data on behalf of our customers. 

Our customers determine the types of Personal Data that will be collected and used within the service, how it will be used and shown, and how long it will be stocked/ procured.  

For any questions related to how your Personal Data is utilized by our customers, please contact them directly. 

Service Data is the information that is processed on behalf of our customers during the provision of the service.

– This data privacy statement explains how and what personal data we collect from you via our website. Personal data means all data that can correspond to you personally, like your name, address, e-mail account(s), and user behaviour.

– Upon termination, all your data (contacts details, conversations, etc.) is deleted permanently from our database upon your request otherwise. 

Account Information, including contact information, user profile information, and about your payment method information, is collected from you when you register or authenticate into our Service and is used to manage payment for the Service, enable us to provide support, and facilitate communication.

Service Usage Information is collected, involves information about how you are accessing and using the Service. We use this information to understand and improve our Services and to investigate and avoid security issues, abuse, and fraud.

Internal Business Purposes 
WebMaxy collects the following information from you by our Website, social media, and other channels for the following objectives: 

Communicating with you and marketing practices 

Replying to your request for a product demo: When you request for a free demo, we can capture your first and last name, job title, WhatsApp number, business email address, and information about your company. We use this information to contact you and else facilitate your free demo. 

Replying to your inquiries: When you contact us with a comment, a review, question or complaint, you may be asked for information that finds you, like your name, address and telephone number, along with extra information we need to help us instantly answer your question or reply to your comment.  

We may retain this information to help you in the future and to scale up our customer service and service offerings (along with the Service and Website). 

Informing you about products and services.  

We may use your contact information for our own marketing or advertising objectives, and to facilitate your signup and use of the WebMaxy service, we will share your information with WebMaxy’s Service Partners to facilitate your WebMaxy signup, product inquiries and allow your use of the WebMaxy service. We do not sell or rent your Personal Data to other third parties apart from these partners.

You can opt out of these communications at any time by following below mentioned steps:

Recruiting and managing personnel 

Processing your job application. If you apply for a job at WebMaxy, you may offer us with certain Personal Data about yourself, like information contained in a resume, cover letter, or some employment-related materials. We use this information for the objective of processing and replying to your application for existing and future career opportunities. 

Managing employees and contractors. If you join the WebMaxy team as an employee or contractor, we will use the information you offered, and information we create about you, for human resources objectives, including verifying your eligibility and qualifications, performance management, to offer compensation and benefits, investigate events, and otherwise provide the relationship. 

Collecting payment for the Service. For Clients purchasing a paid version of our Service, we collect and process information about how you use the Service, and your Account Information (containing contact information, user profile information, and information regarding your payment method) for the purpose of billing you. 

To Understand and Improve our Services and Website 

Understanding how you use the Service: Service Usage Information is collected, containing information about how you are accessing and using the Service. We use this information to know, learn and improve our Services and to investigate and avoid security issues, abuse, and fraud. 

Visiting our Website: We gather the IP (Internet protocol) addresses of all visitors to our Website and other relative information like page requests, browser type, operating system and average time spent on our website. We utilize this information to help us know our website activity and to manage and improve our Website.

Data Retention: We retain your personal data only as long as necessary to fulfill the purposes outlined in this policy or as required by law. Upon account termination, all customer data is deleted unless legally required to retain it for compliance or dispute resolution. 

Service Provider Arrangements: We may transfer (or otherwise make available) Personal Data to third parties who process it on our behalf for the objectives noted above. These third parties may access, process or store personal data while offering these services, but based on our guidelines only. 

As of the date hereof, these third-party providers contain technical operations such as database monitoring, data storage and hosting services along with customer support software tools. 

Changes to our Business Structure: WebMaxy may share or unveil data if we engage in a merger, acquisition, bankruptcy, dissolution, reorganization, sale of some or all of WebMaxy’s assets, financing, acquisition of all or a portion of our business, a similar transaction or proceeding, or steps in contemplation of such activities (e.g. due diligence). 

Compliance with Laws: WebMaxy and our Partner Service Providers of other countries may share or declare Personal Data to comply with legal or regulatory requirements and to reply to lawful requests, court orders and legal processes. 

Enforcing Our Rights, Preventing Fraud, and Safety. WebMaxy may share or disclose data to safeguard and defend the rights, property, or safety of third parties or us, with enforcing contracts or policies, or in connection with the investigation and avoiding fraud. 

Your Rights Access and Correction of Personal Data: If we receive a request from an individual to access or update Personal Data we have gathered on behalf of a certain customer, we will direct that individual to the relevant customer. We will assist our customers wherever possible in replying to individual access requests. 

If you submit Personal Data via our website or otherwise offer us with your Personal Data, you may request access, updating or correction of your Personal Data by submitting a written request to us. We may request certain Personal Data for the purposes of verifying your identity.

Cookie Policy 

WebMaxy uses cookies and similar technologies, to record log data. We use both session-based and persistent(sustained) cookies. 

Cookies are small text files sent by us to your computer device and from your computer or mobile device to us every time you visit our website or use our desktop application. They are distinct to your account or your browser. Session-based cookies last only while your browser is open and are automatically deleted when you close your browser. Persistent cookies last until you or your browser delete them or up to their expiry. 

Some cookies are associated with your account and Personal Data to remember that you are logged in and which parts of the Service or Website you are logged into.  

Other cookies are not fixed to your account but are unique and permit us to carry out site analytics and customization, among other similar things. If you access the Services through your browser, you can manage your cookie settings there, but if you deactivate some or all cookies, you may not be able to use the Services. 

WebMaxy sets and accesses our own cookies on the domains operated by WebMaxy and its affiliates. Also, we use third parties like Google Analytics for website analytics. You may opt out of third-party cookies from Google Analytics on its website. 

We do not currently recognize or reply to browser initiated Do Not Track signals, as there is no regular industry standard for compliance. 

MOBILE APP PRIVACY STATEMENT 

This section is to offer privacy information that is specific to the WebMaxy Mobile App, available on the Google Play Store and Apple Store for download.  

This section supplements our full privacy policy which covers in detail how we handle your data. (Refer our privacy policy given below, in details.) Data collected by this app is generally handled in the similar way as explained in our full Privacy Policy.  

However, this app contains some distinct features related to mobile devices. We explain in this privacy statement how these features work with any data you submit through them. 

Data we may collect from your mobile device 

This section explains types of data stored on your mobile device that you may choose to offer, or that we may access: 

– Contacts / address book: If you give our app permission to access your contacts, we will only access your contacts for the purpose of enabling you to select people rapidly to whom you want to initiate a chat over WhatsApp. 

– Media, documents and camera: If you give this app permission to access your photo albums/gallery/camera, we will only refer them for the purpose of allowing you to easily attach your media files or documents into your chats. 

Mobile Analytics 

We use mobile analytics software to enable us to better understand how our app is used on mobile devices. This software may record information like how often you use the application, the events occurring within the application, aggregated usage, performance data, type of device you use, the device’s operating system version and where the application was downloaded from. 

Google Sheets Plugin Privacy Statement 

We have an integration with Google Sheets listed on the Google Workspace Marketplace. This plugin enables users to send WhatsApp Messages to their Contacts from Google Sheets. 

The plugin’s use and transfer of information gathered from Google APIs to any other app adheres to Google API Services User Data Policy, including the Limited Use requirements. 

Our plugin uses a few scopes and below is a justification for the scopes used in our tool

…/auth/script.container.ui –> This scope is used to enable users to select their contact numbers. 

…/auth/script.external_request –> This permits user to make API calls to our system that sends WhatsApp messages to their contact list. 

./auth/spreadsheets –> This scope enables us to read the spreadsheet content including phone numbers, names or other variables that they want to send with their WhatsApp Messages. 

…/auth/script.scriptapp –> This scope allows users to schedule messages and track replies on Google Sheets. 

Any contacts or data sent from Google Sheets is always stored in the user’s WebMaxy account only, and by no means is it shared with any other user or account. 

Updates to this Privacy Policy 

This Privacy Policy may be updated frequently to reflect changes to our Personal Data handling practices. The updated Privacy Policy will be posted on the Website. If you continue to use the Service or the Website after the changes are done or in effect, you agree to the updated Notice.
